Canadian Surgery Solutions and Rockyview Surgical Centre, a division of Clearpoint Health Network, located in Calgary Alberta, is recruiting for the full-time position of Scheduling Coordinator.
Position Summary:As a Staff Scheduler at the Surgical Clinics, you will play a critical role in supporting established staff scheduling processes, ensuring efficient and timely staff coverage in a dynamic, high-pressure environment. Your ability to manage complex and urgent scheduling tasks within tight timelines will contribute directly to the clinic’s operational success and the delivery of high-quality patient care.

Scheduling Responsibilities:
- Maintain and update staff rotations and schedules to ensure safe and effective clinic operations.
- Fill pre-booked and immediate shifts resulting from staff absences, including vacation, illness, leaves of absence, or education leave, applicable to company policy.
- Contacts staff regarding the initiation or changes in schedules; document cancellations, amend schedules, monitors and adjust schedules to maintain slate requirements.
- Anticipate staffing needs and proactively inform managers of scheduling gaps requiring attention.
- Enter and validate payroll data, ensuring accuracy and compliance with clinic policies.
- Provide scheduling reports, maintain detailed records, and compile statistical information as required.
- Assist in the training and orientation of new staff on scheduling processes.
- Foster trusted relationships and effective communication with clinic staff and management.
- Performs other duties as assigned.
Qualifications:
- High school diploma or equivalent preferred.
- Minimum of 3 years related experience in a healthcare setting or 3 years progressive secretarial experience in healthcare.
- Previous experience in a surgical ambulatory care or acute care setting and/or a scheduling position preferred.
- Knowledge and operation of Microsoft Outlook, Word, and Excel preferred.
- Experience in Shiftboard an asset.
- Ability to communicate effectively, both verbally and in writing.
- Physical ability to carry out the duties of the position.
- Ability to work independently and in cooperation with others.
The work schedule is mostly but not limited to regular business hours and there may be a need to communicate with clinical staff outside of regular business hours.
